If staff are regularly assigned to work at CHEMPARK, the long-term check-in procedure is the right option. With proper preparation, access procedures can be speeded up and waiting times at the gate reduced. For assignments lasting more than three days per calendar year, a valid contractor’s pass is essential.

Complete beforehand

Before you can apply for a permanent identity card, your company or the active contractor must be registered at CHEMPARK. Apply for the fee-based contractor pass in good time. If you need to enter the site in a company vehicle, please order a fee-based access pass directly.

Extra tip: If, in exceptional circumstances, work is to be carried out at night, at weekends or on public holidays, please notify us in advance so that the pass can be activated for that period (for regular out-of-hours work, a general exemption can be applied for).

Entrance

To ensure a smooth check-in at the gate, you will need your pre-prepared contractor ID card. If you regularly bring specific tools or IT equipment with you for work, we recommend using an additional, free special pass for the equipment. When driving onto the premises, please ensure that your vehicle pass is clearly displayed.

Stay

Safety comes first: Please ensure that all staff members are aware of the access requirements and safety rules at CHEMPARK and strictly adhere to them throughout your stay. When moving around the site, take the most direct route to your place of work.

Exit

Once the work is complete, please proceed to the gate to check out. Please ensure that any tools and equipment you are carrying are properly declared. We wish your staff a safe and pleasant journey home!

  • Employees of external companies who do not have their own CHEMPARK pass must complete a check-in form for each assignment in order to obtain a day pass. Each employee may work at CHEMPARK with a day pass for a maximum of 3 days in a calendar year.
  • Deliveries and collections alone may be carried out as often as required. However, the driver must complete a new check-in form for each delivery or collection.
  • External company employees with their own CHEMPARK pass do not, as a rule, need to complete a check-in form.
  • A signature is only required for pre-registrations. If it is missing, the pre-registration will not be processed and no day pass will be issued. The time-saving benefit of pre-registration will not apply. Check-in is still possible, but only as a walk-in check-in.
  • When checking in without a pre-registration, the person responsible for the order must verify their identity by telephone upon arrival at the gate. A signature is therefore not required. However, as check-ins with pre-registration are always processed first, this may result in longer waiting times.
  • Only the person responsible for the order at the commissioning CHEMPARK partner or CHEMPARK service partner is authorised to sign.
  • Authorisation to sign is governed by the internal procedures of the CHEMPARK company. By signing, the employee of the CHEMPARK company automatically confirms that they are authorised to sign (confirmation of the ‘accuracy of the information provided’).
  • However, plant security can and must check in NEWEIS whether the employee who signed as the person responsible for the order holds a valid
  • External companies operating on behalf of a company within CHEMPARK are not authorised to grant access to employees of a subcontractor.
  • Only the person responsible for the contract at the CHEMPARK company that originally awarded the contract to the external company – which in turn has engaged a subcontractor – is authorised to grant access to employees of that subcontractor.
  • Subcontractors must never carry out work at CHEMPARK without the knowledge and authorisation of a company permanently based at CHEMPARK (‘CHEMPARK partner’ or ‘CHEMPARK service partner’).
  • The person responsible for the contract at the client company within CHEMPARK must approve the application.
  • The person responsible at the reporting external company – that is, the external company intending to deploy the employee – must approve the application.
  • The reporting external company must be registered.
  • If the employee belongs to a subcontractor (parent company), their details must also be included in the application.
  • A separate, fully completed application form must be submitted for each individual employee.
  • However, external companies may enter their company details electronically once, then print out the form in the required number of copies for the applications to be submitted, and have the employees fill in their own details manually. The form has to be printed out anyway so that the person in charge at the external company can sign it.
  • Tradespeople, suppliers and employees of external companies applying for an access pass should always sign the document by hand on site when collecting it. A signature provided in advance ‘on behalf of’ – for example, by a dispatcher from the external company – is not permitted.
  • The following applies to all cases: Scanned signatures or those inserted as images, as well as signatures ‘drawn’ on a computer using graphics functions or computer fonts that have been typed, will not be accepted.
  • Signatures that were originally provided for a different application are also not accepted, e.g. where the details of the external company, the external company employee, the assignment/delivery etc. in the original document are overwritten whilst the signature is retained.
  • Signatures should generally NOT be stamped, as this impairs the legibility of the signature – and, in the case of large stamps, also the details in adjacent fields – and may prevent their validation. In the worst-case scenario, the application cannot be processed and must be resubmitted.
  • Application forms are official documents and must therefore be submitted in a format that accurately reproduces the original. A high-quality scan ensures this. Photographs always contain distortions or blurring, are more difficult to verify automatically and are more susceptible to tampering. We therefore do not accept photographs, poor-quality copies or similar items – even if they have subsequently been scanned.

Special passes entitle the holder to certain special privileges required for work at CHEMPARK. The following special privileges are permitted:

  • Bringing in the external contractor’s own items, tools and materials, as described and listed in the application
  • Bringing in the external contractor’s own data storage devices and IT hardware, such as laptops or tablets, as described and listed in the application
  • Permission to take photographs or film for business purposes within CHEMPARK (approval by the person responsible for the contract is required)
  • Bringing in items, tools and materials owned by the CHEMPARK facility, which are described and listed in the application and which have been authorised by the client’s representative at CHEMPARK by means of a signature (authorisation by an authorised facility employee – usually the facility manager – is required)
  • Bringing in personal data storage devices and IT hardware owned by the company within CHEMPARK, such as laptops or tablets, which are described and listed in the application and have been approved by the client within CHEMPARK by means of a signature (approval by an authorised company employee – usually the site manager – is required)
  • External contractors with their own CHEMPARK access card who regularly carry the same tools or IT equipment with them should apply for a special access card. Listed items no longer need to be declared. This saves time when entering CHEMPARK.
  • To speed up the verification of ownership during exit checks, the listed items can also be fitted with a security seal issued by CHEMPARK Security. To obtain the security seals and document their allocation, a one-off tool registration form must be completed at the gate.
  • A special pass is not practical if you need to carry different tools or IT equipment, as only the items listed in the application are exempt from the registration requirement.
  • Site security is obliged to protect the property of the companies at CHEMPARK.
  • Consequently, tools, IT equipment and materials may only be removed from CHEMPARK if it has been established beyond doubt that they are not the property of a company at CHEMPARK. (Exception: The company within CHEMPARK authorises the removal of its property in writing by issuing its own exit permit.)
  • Proving, for example, that a particular tool is not the property of a company within CHEMPARK is much more complicated after the event than simply declaring the items before entering the site. The process is time-consuming and leads to delays at the exit. If the matter cannot be clarified promptly, undeclared items will remain with plant security until ownership has been established.
  • As a general rule, the client at CHEMPARK must approve the granting of a vehicle access permit in all cases.
  • External companies may apply for a vehicle-specific access permit, which applies to the company vehicle with the registered number plate, regardless of the driver.
  • Employees of external companies holding a day pass can justify the need to enter the site at check-in; the entry permit will then be noted directly on the day pass.
  • As a general rule, work carried out outside the weekday time slot of 06.00 to 20.00 must be notified in advance using the relevant form. Notifications are valid only for a limited period of up to one week from the first date of work.
  • In such cases, access is only possible via the vehicle access points, as all other gates are closed during these times.
  • If work outside the weekday time window is required on a regular basis, an exemption for turnstile access (valid for a maximum of one year) may be applied for. Access can then be granted via a designated turnstile system. However, this is only possible for employees of external companies who hold their own CHEMPARK access card.
  • Day passes obtained at check-in without prior registration: no lead time, but processing at the gate involves waiting times, as pre-registered applications are always given priority
  • Day passes obtained at check-in with prior registration: registration must be made 1 working day before the start of the assignment by 14.00 at the latest
  • Weekend, public holiday and night work: registration must be made 1 working day before the start of the assignment by 2.00 pm at the latest
  • CHEMPARK pass for employees of external companies; special passes and vehicle access permits: registration must be made no later than 3 working days before the start of the assignment by 2.00 pm
  • Turnstile activation/‘annual registration’ (valid for 1 year): registration must be made no later than 5 working days before the start of the assignment
  • The contract manager is the person within a CHEMPARK plant who is responsible for the contract with an external company.
  • The contract manager authorises access to CHEMPARK for employees of an external company: by signing pre-registration forms or by giving verbal authorisation during a telephone call with plant security. They also determine the need for special authorisations and approve the issue of permanent CHEMPARK access cards for external contractor staff.
  • The contract manager is authorised within their company’s organisation to sign off on and authorise access for external contractors. This is not linked to any specific job title.
  • CHEMPARK Partners (CPP) are the companies based at CHEMPARK that have entered into a framework agreement with Currenta for the provision of services. All CPP employees hold permanent CHEMPARK access cards. CPPs are authorised to invite visitors and approve access card applications for employees of external companies.

  • CHEMPARK Service Partners (CSPs) are companies based at CHEMPARK that have signed a CHEMPARK Service Partner Agreement with Currenta. All CSP employees hold permanent CHEMPARK access cards. CSPs are authorised to invite visitors and approve access card applications for employees of external companies.
  • External companies are all those acting on behalf of companies based at CHEMPARK (CHEMPARK partners or service partners, or CPPs/CSPs) which are not themselves CPPs or CSPs. External companies are not permitted to invite visitors to CHEMPARK and may only engage subcontractors with the approval of the commissioning CPP/CSP and, as the registering external company, submit applications on behalf of employees of subcontractors.
  • The registering company (also known as the ‘registering external contractor’) is the company originally commissioned by a CHEMPARK partner or service partner (CPP/CSP) to provide services at CHEMPARK, registered via a registration form, and which registers employees to carry out these services using a form (e.g. for an external contractor ID card).
  • If the employees are not employees of this reporting external contractor but of another external contractor – i.e. a subcontractor or sub-contractor – this other external contractor is referred to as the ‘parent company’ (the company ‘from which the employees originate’).
  • The order managers of the CHEMPARK partners can sign all forms digitally, with the exception of the operation pass. However, the email must then be sent via the CHEMPARK partner’s own email account.
  • External companies can also sign digitally if they use software with a digital certificate, such as Adobe Sign. Here too, the document must be sent via the company’s own email account. The company’s domain name must appear after the @ symbol; commercial email services are not permitted.
  • Yes, if they are invited as a visitor by a CHEMPARK partner.
  • In this case, entry is not permitted through a site gate, but must always take place via the visitor reception.
